Governance Update, September 2023

The Board of Directors met on August 14, 2023. In attendance were Abebe Rorissa, PhD (President); Crystal Fulton, PhD (President-Elect); Naresh Agarwal, PhD (Past-President); Ina Fourie (Treasurer); Maria Bonn, PhD; Tina Du, PhD; Lisa Hussey, PhD; Aylen Imeri, PhD; Lydia Middleton, MBA, CAE (Executive Director); Chris Cunningham, PhD (Parliamentarian). Guest in attendance: Kimberly Granados, CAE (Deputy Executive Director)

The Board discussed the following issues:

Consulting Services Proposal
The Board voted to refrain from pursuing the development of a consulting service to the private and public sectors on information challenges at this time. Staff and the Board will continue to monitor opportunities and take an ad-hoc approach to a potential pilot test.

History Committee/Curator Reports
The Board took the following actions:

  • Reaffirmed the decision to sunset the standing History Committee. Information science history is already within the mission of SIG-HFIS, as it "encourages and supports work on the history and theoretical development of information science. It serves as a forum for the interaction of all fields of study that have the potential for increasing understanding of the history, theories, fundamental concepts, and models of information science." Internal ASIS&T history will be overseen by ASIS&T staff, other committees, and/or a task force as needed for any future projects.
  • Declined to establish a Watson Davis Library of Information Science & Technology due to the estimated cost, the fact that most of the information is already publicly available, and that as a global organization a physical, non-digital library would limit access which is contrary to ASIS&T values.
  • Created a charge for the Membership Committee to focus on member engagement in the coming year, including surveying the membership on the utilization of the iConnect platform.
  • Reaffirmed that the current file structure, put into place in 2017 in response to the KMTF recommendations is appropriate.

Publications Committee Report
The Board accepted the Publications Committee's Open Access Whitepaper and approved action on the first two recommendations. The whitepaper will be socialized with members, a survey will be developed and implemented, and discussions on Open Access will take place in various formats.

Annual Meeting Report
The Board reviewed the report submitted by the Annual Meeting chairs on the strength of submissions and the vigorous review of submissions. The board approved of the increasing capacity to take additional posters while still maintaining rigorous standards.

Record-breaking attendance and gross revenue were reported by Middleton. The Board is aware that due to the high cost of the meeting in London this does not mean exceeding net revenue expectations.

SIG and Chapter Manual Revision
The Board approved revisions to the Chapter and SIG manuals the edits made to the current manuals including stronger guidelines on:

  • the awards-making process,
  • unspent allocations, and
  • SIG/Chapter unused retained balances.

The purpose of these edits is to encourage creative, but responsible, use of funds that will help grow, engage, and benefit ASIS&T membership. SIG/Chapter orientation training will include information regarding the changes

Financial Update
The Board reviewed unaudited year-end financials. ASIS&T budgeted for a 38k loss for the year with increased investments in staff and potential programming. ASIS&T ended the year better than anticipated with a loss of 20k. Other highlights include:

  • Dues received exceeded the budgeted amount for the first time in years.
  •  Event revenue was down.
  • Staffing expenses were up with the addition of a staff position.

The annual audit is being scheduled and should be completed by the October board meeting.

Consent Agenda
The consent agenda was approved. It consisted of:

  • Minutes of June 2023 Meeting
  • FYE23 Financial Information
  • Membership Report
  • Committee Appointments
  • Editor Reports
  • Oceania Chapter Bylaws

Next Board Meeting

ASIS&T Archiving and Preservation Project Call for Proposals Now Open

ASIS&T seeks proposals from LIS faculty interested in utilizing the ASIS&T physical files as materials for a course in archiving and preservation of organizational materials.

Background
The ASIS&T office is closing in early 2024 and all physical assets in the office must be relocated prior to office closure. The ASIS&T archives are housed at the University of Michigan where we intend to ship all materials suitable for archiving. However, the materials in the ASIS&T office have not yet been reviewed, sorted, or cataloged for archiving.

Opportunity
Many ASIS&T members are at institutions which offer a course or courses in archives, and those courses often provide students practical experience in archiving through hands-on work with the documents of an individual or organization. ASIS&T wishes to make its materials available to an institution for use in its curriculum. In exchange, ASIS&T would be looking for the following deliverables:

1.       A collection of materials suitable for archiving at the University of Michigan.

2.       An inventory of all materials in the collection.

3.       Guidelines explaining what criteria were used to determine if an asset was suitable for archiving or not.

Timeline

The materials are available immediately and can be shipped or delivered within two weeks of selection. The final deliverables would be due to ASIS&T no later than June of 2024.

Proposal
Proposals should be submitted via email to lmiddleton@asist.org. Proposals should include details of how the materials would be used to support course work in an LIS program; what measures would be taken to ensure the safety and confidentiality of materials; a project timeline; point of contact; any additional information or resources required to carry out this work.

2023 International Conference on Dublin Core and Metadata Applications (DC-2023)

Kyungpook National University, Daegu, South Korea
2023 November 6th to November 11th

DCMI 2023, the twenty-first International Conference on Dublin Core and Metadata Applications, will embrace the whole spectrum of innovation in metadata design, implementation, and best practices, with a special focus on challenges and opportunities in a data-intensive world.

Discounted rates for ASIS&T members.

Today's data-driven, data-dependent, and data-intensive environment requires metadata that is findable, accessible, interoperable, and reusable (FAIR), which is the underpinning of data and knowledge ecosystems.

Metadata has never been more crucial than today. Trending fields related to digital transformation such as connected data catalogs, collaboration and remote work, artificial intelligence and machine learning, digital history and ethics, and open science depend on high-quality metadata.

The parallel growth of data and metadata challenges the metadata community to rethink its research and practices in order to stay ahead of emerging trends.

DCMI 2023 is a venue for discussing "innovative practice" - new solutions to practical problems. It draws participants from universities, research institutions, and LAMs (libraries, archives, museums), as well as corporations, non-profit organizations, and government agencies.

Jane Greenberg Receives Association for Information Science and Technology (ASIS&T) Research in Information Science Award

The Association for Information Science & Technology (ASIS&T) is pleased to announce that Jane Greenberg, Alice B. Kroeger Professor and Director of the Metadata Research Center at the College of Computing & Informatics, Drexel University is the recipient of the 2023 ASIS&T Research in Information Science Award.

This award recognizes an individual or team who has made an outstanding contribution to information science research. The award is for a systematic “program of research” in a single area at a level beyond the single study.

Candidates for the Research in Information Science Award are assessed based on the following four criteria: intellectual merit and quality of the contribution; broader impacts of the contribution to theory, practice and society; the coherence of the contribution; methodological innovation used in research; and the transformation and transcendence of the information field.

Dr. Greenberg’s research activities focus on metadata, knowledge organization/semantics, linked data, data science, and information economics. She serves on the advisory board of the Dublin Core Metadata Initiative (DCMI) and the steering committee for the NSF Northeast Big Data Innovation Hub (NEBDIH). She is also on the Executive Leadership Team of the NSF-HDR Institute for Data Driven Dynamical Design (ID4), where she also serves as Drexel University’s PI and the lead PI the Metadata Capital Initiative (MetaDataCAPT'L) and the Helping Interdisciplinary Vocabulary Engineering (HIVE) linked data project. Her research has been funded by the NSF, NIH, NEH, IMLS, Microsoft Research, NSF Center for Visualization and Decision Informatics (CVDI), Santander, GlaxoSmithKline, National Library of Medicine, Library of Congress, OCLC, among other organizational and private sponsors. She has received numerous awards and honors for her research and leadership; most recently she was recognized as a 2016 ELATE at Drexel® Fellow and in 2014, as a Data Science Fellow at the National Consortium for Data Science, Chapel Hill, North Carolina.

Evidence of the intellectual merit of Greenberg’s research is demonstrated in the citations to her publications, serving in a leadership role as PI, co PI, or senior investigator on over $79 million in research funding. and broad impact. Greenberg founded the Metadata Research Center in 2004. The center, under her leadership, has and continues to elevate the study – and science - of metadata. Our understanding of metadata’s relevance and importance to data sharing, FAIR data, and linked data can be attributed to Greenberg’s research and research leadership. Greenberg was an original principal investigator in the Dryad Data Repository project from 2009 through 2016, Greenberg led the Dryad data curation/metadata research and development activities. Greenberg is also a leader in advancing the application and use of machine-readable knowledge organization systems. Greenberg directed the design and development of a unique linked data, automatic indexing application called HIVE (Helping Interdisciplinary Vocabulary Engineering). She has developed and advanced two theories, metadata capital and ontological ownership.

Greenberg is currently leading an innovative automatic metadata generation project for artificial intelligence (AI) ready data through Biology-guided Neural Network (BGNN) project. This project has been incorporated into the Imageomics Institute. One of her papers on this work won a Best Research Paper Award at the Metadata and Semantic Research International Conference in 2020. Similarly, a paper she co-authored with one of her students won a Best Student-Led Research Paper Award at the 2021 ACM/IEEE Joint Conference on Digital Libraries. Greenberg recently chaired the committee to implement the Drexel University’s Masters in Data Science which spans both computer science and information science and is the lead PI for the IMLS LIS Education and Data Science Integrated Network Group (LEADING), which has provided data science education and overseen immersive learning experiences for 71 Fellows, including 18 Fellows in the 2023 cohort.

In her nomination of Dr. Greenberg, Dianne Sonnenwald, Emerita Professor-Research Active, School of Information & Communication Studies University College Dublin, stated, “Before I got to know Greenberg’s work, I thought meta-data research was more or less “old news” and not a cutting-edge research topic; however, Greenberg’s ground-breaking work on research scientists’ meta-data creation was the first of her many important projects that changed my mind. To date her chief intellectual contributions are in automatic metadata generation and the role of metadata in supporting data sharing. Her research on automatic metadata generation falls into two key areas: 1) developing automatic metadata generation workflows, and 2) advancing the application and use of machine-readable knowledge organization systems.”

The 2023 ASIS&T Research in Information Science Award committee cited, “Dr. Greenberg's contributions to metadata research for over 25 years have contributed significantly to several areas of metadata implementation and practice. In particular, her research on metadata to support data sharing contributes to open science principles.” As a jury member commented, ‘Dr Greenberg's contributions are potentially the most foundationally transformative of any of the nominees and her technological methodology the most compelling to me. The broader impact of her work is huge.”

Upon learning of her selection as winner of the ASIS&T Research in Information Science Award, Greenberg responded “I am truly honored and delighted to be the recipient of the 2023 ASIS&T Research in Information Science award.  Research is a collective journey; and over the years, I’ve had the privilege and pleasure of working with great mentors, students, and colleagues who have been with me throughout this journey of inquiry, and without whom none of it would be possible.”

Greenberg will receive the award at the 2023 ASIS&T Annual Meeting to be held 27-31 October in London, UK.
